Metadata Committee meeting minutes: 12/12/2005

Members present: Nancy Boggess-Korekach, Marshall Breeding, Zora Breeding, Eileen Crawford, Teresa Gray, Mary Charles Lasater, Pete Wilson, Roberta Winjum. Absent: Catherine Gick, Linda Tesar, Annette Williams. Guests: Ann Ercelawn, Paul Gherman.
- Marshall Breeding gave a presentation on the TV News Archives.
- Marshall pointed out that the TV News archives database has several purposes including storing of bibliographic, metadata and abstracting records and also performs e-commerce functions. It is for the most part a free-text database. There have been some efforts to do subject classification, but this has not been possible to pursue because of staffing issues. Marshall went through the history of the Archive and described the different records that are created. The abstracts are written in Word and then populated into a form that enters the information into the database. Marshall explained that in creating the online database, they tried to preserve the original methods of creating the typed index cards and abstracting techniques that were used when the database was first created. He went on to explain how the subscriptions work and also how access to the database is controlled. Free access is only available from the VU campus and the Library of Congress.
- Roberta Winjum reported on the Strategy and Planning Council's response to our request for a Project Team for Acorn Enhancements. The Coucil felt that this would not be necessary. They would rather that the people who identify the problems be empowered to make the decisions on what to do about them. We agreed that this would probably mean that the Cataloging Team of Technical Services would have to communicate with catalogers in Biomedical, Law, Divinity and Music to make decisions about policy changes or enhancements to Acorn. But they should be careful to communicate any decisions across all libraries and departments.
- Next meeting will be Jan. 9th, 9:00am. Nancy Boggess-Korekach will do a presentation on the Electronic Theses and Dissertations project.
