OCLC #’s in Acorn Project Team—Zora
OCLC is offering to take our records and update our holdings for Free. This is part of a long-range project for shared storage. This project is focusing on the exclusions for the Acorn extract. These include database loads that we have contracts not allowing us to share, in process materials, records for older documents that have not been inventoried to confirm we have the pieces. The project is an effort to update our OCLC holdings on records that have just been missed as part of the cataloging process.
Metadata recommends that we have a follow-up update one more time in one year for just that year’s cataloging to see if we are failing to update holdings often enough to make future update projects necessary.
Nancy Boggess-Korekach indicated that she is meeting with other Documents people (Terri & Linda Tesar) about the new GPO practice to provide separate records for print, online and microfiche. This may double or even triple the volume of records we receive for our documents since Law and Central depositories do not get the same format. While the future is for electronic access, we are still getting print and microfiche titles.
National vs Local cataloging work—Marshall
Marshall asked how much updating is still being done locally instead of nationally. Generally more upgrading of records is being done nationally since Metadata established the formal policy supporting national level work. There are still some instances of local Acorn-only cataloging, but not many, and all have good reasons. We noted that these Acorn only records may get updated through the OCLC # project.
DiscoverLibrary Library Council Discussion
Roberta and Marshall updated the group on the Library Council discussion which will continue at their next meeting. The policy for what to include in DiscoverLibrary vs. what to include in Acorn needs to be documented as we decide which databases to add. Metadata comments included: 1.We don’t yet know enough about Primo and how it will work to make good decisions. After we load the next 3 or 4 that are in process we will be able to make better decisions. 2. Maintenance issues need to be considered as we add to DiscoverLibrary. We can currently update our terminology in Acorn but that same ability is not yet in place for DiscoverLibrary. 3. Acorn remains our inventory system. We need to be sure the items we need to inventory are on Acorn.
- The group recommends that someone needs to be made responsible for developing DiscoverLibrary. That person particularly needs to have expertise in the back office for policies like we have for Acorn (Nancy Boggess-Korekach) and Dspace (Ronee Francis.) Currently we have added DiscoverLibrary activities to people with other job responsibilities. Comments concerned our lack of progress and overworked library staff.
Helguerra digitization project--Roberta
The library is seeking a grant to digitize this material. We need to make some metadata decisions. The Robert Penn Warren project was mentioned as something we had already completed. We need some samples of digitized materials and need to get an appropriate group together to consider the metadata.
RDA-Roberta
She asked about the new cataloging code that was recently released in PDF files. Pete volunteered to provide comments to Metadata at our next meeting, Jan. 5, 2009 at 9 AM.
