Metadata Committee meeting minutes: 1/9/2006

Members present: Nancy Boggess-Korekach, Zora Breeding, Eileen Crawford, Catherine Gick, Teresa Gray, Mary Charles Lasater, Linda Tesar, Roberta Winjum. Absent: Marshall Breeding, Annette Williams, Pete Wilson. Guests: Ann Ercelawn.
- Nancy Boggess-Korekach gave a presentation on the ETD (Electronic Theses and Dissetation) project. She gave an overview of the procedure for students to submit their ETD's and the method by which the ETD's are approved and made available to the public. There was much discussion about the keywords that are added by the student and how helpful they are to the public searching for theses or dissertations. There was consensus that the keywords are not as helpful as they could be and that it would be ideal if catalogers could add subject headings to the keyword portion of the ETD title page. This page is available for update even after the ETD has been approved. It was agreed that we would need to meet with Liz Leis at the Graduate School to determine exactly how much editing of this page would be acceptable to them. There is also great inconsistency in the way the titles are typed into this page by the student and it would be nice to have these be more consistent as well.
The committee discussed some of the workflow issues involved with the ETD's. It appears that there is a lot of duplication of effort involved. Nancy brought up the fact that she currently burns CDROM archive copies for each ETD and creates call and copy records in Acorn for each one. She then has to create a label for the CDROM's and send them to the Annex for storage. The Committee questioned whether or not archive CDROM's were still necessary given that the LOCKSS project is underway and the PHD dissertations are also archived by Proquest/UMI in the Dissertation Abstracts database. Teresa Gray explained that it is a part of Special Collection's charge to keep archive copies of the ETD's. The Committee resolved that there needs to be a Project Team set up to further explore the above issues. Roberta will write up a charge for the Project Team and submit a request to the Strategy and Planning Council for the creation of the team. We will request that the following staff be included on the team: Nancy Boggess-Korekach, Mary Charles Lasater, Jeff Taylor and Deborah Broadwater.
- Roberta announced that two policy changes had been made in Acorn. The 586 field label has been changed to say "Awards" instead of "Note" and the 245 field subfield c is now indexed in the keyword title search. She will send both of these changes to be announced in the Staff Newsfeed.
- Next meeting will be Feb. 6th, 9:00am. Roberta will ask Marshall Breeding to do a presentation on the Arts database. And we will further discuss the charge of the ETD Project Team.
