Commons Service Exploration Team C-SET

Project Summary/Abstract: The Committee will explore options and avenues to provide library services to first year students at The Commons for fall 2008. Services may be virtual or located in a physical space. The focus is on mission driven services that will be highly relevant to the first year students.

We will use the following to gather information for consideration in developing the plan: focus groups, existing library services for first year students, literature and peer institutional reviews, and those already engaged directly in The Commons operations. Our initial approach focuses on where or how the services will be provided: Houses, Common Center, Virtual, and in-Library locations.

C-SET will provide the Strategy and Planning Council a preliminary report by March 31, 2008 with a planned implementation by fall 2008. The preliminary report will include short and long term service goals and details such as value, relevance, and resource requirements. The Library welcomes the opportunities presented by this new environment.

Statement of Need: The Commons learning community for first year students has been established as a priority for Vanderbilt University. The Commons Center and the residence halls will offer a many student services within a small radius. The Commons Center is a multipurpose space that incorporates numerous student activities. First year students will begin living in the residence halls in the fall of 2008. The Digital Commons will connect students to VU beginning with their first payment in May of the year of their entry. Social networking tools will connect students to their Houses and to the activities within and outside of The Commons.

Project Champion/owner: Library Directors Council

Project leader/coordinator: Sue Erickson, Director of System-wide Public Services

Documentation and Reporting: The project leader will provide periodic progress reports to the Library Directors Council. A set of recommendations will be submitted to the LDC. These recommendations should be approved by the Library Directors Council and the Strategy & Planning Council before implementation. Depending upon the recommendations, one or more implementation teams may be required.

Related Project(s) and Stakeholders: The team will need to consult with the Research Services Committee regarding public services issues, with the Digital Library Steering Committee regarding any virtual opportunities and with the Dean of the Commons and the ten faculty Heads of Houses.

Budget: It is expected that expenses will be negligible during the planning process. Any significant budget needs will be brought before the Library Directors Council.

Timeline: The team will be in place by December 15, 2007 after approval by the Library Directors Council. Recommendations will be submitted to the Library Directors Council as developed, with a final report of plans to be submitted by March 30th for implementation in the fall of 2008.

Assessment: The team will gather information from students, faculty Heads of Houses and Commons Center staff to determine what kinds of library services and activities are needed or desired.
