Meeting Notes

Not attending: Frances Lynch, Tracy Primich

Flo summarized the two days of meetings with Ex Libris about our partnership with them in the development of the new discovery and Get It service called Primo. Work over the summer will be intensive as we extract data from ACORN and TV News and then figure out how to map that information into Primo in the most useful way. Technical services and public services staff will need to be involved in addition to technology staff. The Digital Library Steering Committee will be working on the needed structure for completing our tasks in this effort. This intensive planning work will go through the summer. We'll have access to the development server in November and December, and we'll plan to install a beta version the end of December.
An architect hired by Campus Planning presented a couple of alternatives for expanding the current Annex to house more library materials; neither of these was cost effective given the relatively small amount of storage that could be added. The architect was then asked to consider the Chestnut site as a possibility for a new Harvard-style high density facility. The first round of planning indicated that such a facility could provide substantial new space with significant future expansion space at a potentially reasonable cost. The next step will be to do more detailed planning for presentation to the University administration so that we might reserve the currently vacant space for future library use. Work on this more detailed plan will proceed this summer. No work on building a facility is expected to happen, however, until we are closer to filling the Annex (3 to 5 years?).
David presented an update on the Management Library renovation plan. Work begins tomorrow. By the end of the week the entire library will be moved out. Reference assistance will be available on the 3rd floor of the Owen School. Staff will be relocated to Baker, Central, Science & Engineering,and the Owen 3rd floor. A couple of staff will be working from home. The entire book collection is going to the Annex and will be retrievable for library users; links in ACORN records will allow people to request these items; Central and Law will be identified as suggested pick up locations; books will not be available at Management for check-out. Limited access to bound periodicals will be available since they will stay in the library and the stacks covered in plastic. Construction is scheduled to be complete by August 18. When they reopen, there will be a single service desk, no turnstiles, more group study facilities.
Directors identified the special efforts that have been made for students at semester end. Central provides soft drinks and water; Peabody offered massages but there were no takers; Management provided pizza on the first night of study for exams. Science has had free coffee. Law ended up providing free printing although that was not intended. Most of the libraries had extended hours. Not limited to exam periods, Special Collections, Peabody, and Law offer candy at the service desk.
John announced that the facilities and services survey has been updated and is now ready to be distributed. Print copies will be distributed to library directors, and it will be made available from the staffweb.
Law is moving most of its reserves from behind the circulation desk into reference or the rest of the open collection to make access easier.
Tallying of end of year funds availability is close to complete. For those libraries that had end of year expenditure needs and were holding off on purchases as requested, we should have word back to them shortly on whether they can proceed.
Bill announced that Anne Womack will be returning full-time this summer to a revised position description.
The next meeting (June 5), Janice Adlington will join us to talk about Lib QUAL results, and Mandy Henk will come to talk about the Faculty Book Delivery Project Team's recommendation for a system-wide book delivery service.
