Minutes (Rahn):

Attending: Melinda Brown, Sara Byrd, Peggy Earheart, Sue Erickson (project leader), Jodie Gambill, Ramona Romero, Carlin Sappenfield, Jacob Thornton, Celia Walker, Rahn Huber (Scribe)

1) Review the draft charge that Rahn sent out Discussion to accept the draft as amended in the group discussion. Sue will finalize the Charge and take it back to the Library Directors Council for review. Once fully adopted, the Charge will be updated on the wiki.

2) Reports from the sub-teams:

Virtual Presence: Carlin and Jodie They discussed their report and ideas which they will post on the wiki. They asked Michael Martin about whether the Commons will have a presence on OAK. He is working on Facebook for the Commons. They plan to meet with him soon. Other comments during this discussion were: - We will need to push services to the students - We should think about “where will the students look for information?” - What are we ready to support technologically? - What services are already on the Library’s radar to either provide or investigate? - Sue commented that the Science Library did a podcast and asked if it is completed. She will check with Tracy Primich about that - Melinda said Central had also done a podcast - Their next report will take these ideas they generated and investigate them further.

Student feedback/Library as Place: Celia, Melinda and Rahn (Jacob joined this group at this meeting) The team reviewed their report. Melinda participated in a Vanderbilt Visions survey last year that asked all students for the “Top 10 list of what you should know about the Library as 1st Years.” This data could be helpful and we may do a similar survey again. Melinda will place those survey results on the wiki for all to review.

Houses: Peg and Sara They are doing an environmental scan of other Houses and working on a handout of links. They are having a phone conference call with RPS this Friday at 1:00 CST in the Central Classroom. All are invited. Some of the links are for Honors programs, it’s not all 1st year information. They suggested doing House interviews to combine with information found by other C-SET subteams.

Commons Center: Carlin, Ramona and Sue They met at the Commons Center and their meeting notes are on OAK.

General discussion points that arose during the reporting sessions: - We should think about what is common across the subteams - We should organize any information gathering/interviews/surveys we do by letting others know in advance when these events will take place - We should be sure to only contact each group one time (Sue) - Does anyone have contacts that we can use at other universities as these are hard to find on websites (Peg) (Jody knows someone who lived in the Commons at Rice and also Megan – VU Special Collections – did also) - Part of the Dean’s Commons space is public: can the Library use any of that? (Peg) - Chat reference: Central tried it (with QuestionPoint from 1 to 3 pm only) and not many used it; Peabody is about to try it; Nashville Public Library is in a Solinet consortium providing the service - Sue will add a folder to Oak for each Sub-Team in Course Documents and also URLs; all of us will have rights to add content to share

3) Plot out our next steps

Each team will explore in more detail their current ideas and report back more details and progress next meeting in 2 weeks.
