1. Library access during late night hours (Tracy)
This topic came out of our discussion with Campus Police last week. Should we reconsider whether non-Vanderbilt card holders should have access during late night and/or extended hours? There is no established policy on 24/7 access for non-Vanderbilt card holders. There are many cards but few who cause problems by not being in the library for an academic purpose. A few directors whose libraries are connected to their school buildings expressed concern for the school areas outside of the library—when they give access to their libraries after hours they are also giving access to the school building. Some are addressing the needs of scholars with conference cards and limiting year-long access cards. Directors will continue the discussion next week.

2. Budget update and annual evaluations (Lisa)
Lisa distributed guidelines for performance evaluations and the distribution for performance ratings for the last two years. This year’s procedure is the same as last year’s. All evaluations are due to Lisa by April 30.

The Associate Provost’s office has received the final budget. It will go forward to the Vanderbilt Board of Trust for approval in May.

3. Technology update (Jody)
The Medical Library has allowed us access to Novell operating systems through their purchase plan but they will not renew the license this June. We plan to purchase Novell licenses for the library for the coming year to allow us time to plan a migration to Windows at the end of the next fiscal year. This will require a review of the services that must be migrated.

LITS is deploying approximately 80 work stations as replacements to older models. They are also trying to eliminate all of the CRT screens in the system.

4. Announcements
Sue Erickson distributed 20 DiscoverLibrary pins to each director to be placed at circulation desks or distributed to staff who may not have gotten one. Contact Sue if you need more.

Celia Walker distributed the practicum ideas that were submitted to UT School of Information Science.

USPS has decided to resume 37240 deliveries to the GLB, within a phased resumption which will occur over the next couple of weeks.
