1. Announcements:
- Roberta Winjum announced Technical Services has completed negotiations to use the OCLC Contract Cataloging service to provide bibliographic records for our Arabic language materials. This new service will add Arabic language materials to our catalog for the first time. By outsourcing material to OCLC language experts, items in this increasingly important area of studies will be more quickly available to the scholarly community. Technical Services will ship the new purchases to OCLC and they will provide full level cataloging of our collection in Worldcat and return a file of records with each shipment to be loaded into Acorn. Meanwhile, temporary records for this material will be in Acorn, created by Order Services at the time of placing an order. Faculty in Arabic Studies will be provided with a list of titles as they are sent. - Marshall Breeding attended the NDiIPP Conference in Washington, D.C. The focus of this meeting was to discuss the creation, access and preservation of news and set national policy about what is considered news.
- Bill Hook announced that CBORD, the vendor for the VU print system, will no longer be supported past 2011. He said the library will likely convene a campus-wide discussion on the VU print system in the very near future. Bill said there are four companies we can consider for the service.
- Dean Dowell gave an update on her various meetings:
- The Dean’s Council met on Monday, September 7.
- The group was introduced to Brett C. Sweet, Vice Chancellor for Finance & Chief Financial Officer.
- They also discussed changes in the annual Conflict of Interest policy.
- Susie S. Stalcup, Vice Chancellor for Development & Alumni Relations, spoke about setting policies on fundraising activities for both VUMC and VU. She also discussed that VUMC and VU will not have uniform policies on creating endowed deanships and endowed chairs.
- Given that the university uses a 3 year rolling average for endowment payout, the payout for 10/11 (next year) will likely be lower than this year (depending on how the economy is in 2009), but the following year may be even worse, as we lose the last of the ‘good’ years in the rolling average.
- The Provost asked the Dean’s Council members to look at their web presence and ensure the pages are as up to date as possible.
- Met with the Provost McCarty this morning (09/10/09). Connie said the Provost is pleased with our progress. She showed the Provost the renovation plans for the first time.
- She has been asked to speak at many venues around campus and often these talks will be about continued good service, collaborating on campus and upgrades to the library system facilities. She would like see the library system more involved in programming with a variety of partners on campus.
2. Plans for the Central Library: Dean Dowell updated Council on the building renovation plans for the 4th floor of the Central Library by showing blue prints via PowerPoint. Though full funding has not been identified, and the cost has not yet been determined, Dean Dowell shared ideas being considered, including the creation of a café, a large meeting space, study spaces, featuring exhibits on the fourth floor, among other plans. She hopes to share these plans with staff from Central and Technical Services to update them before sharing them at an all-staff meeting. A project team has been formed to oversee the planning efforts for possible future renovations in the General Library Building. The team includes representatives from the Dean’s office, Central, Divinity, Technical Services, Public Services, and the Annex. The planning will try to take into account potential efficiencies and service improvements that might be accomplished by approaching the effort more holistically. As planning moves forward, additional smaller teams will be formed to focus on particular pieces of the project. Regular updates will be provided to all staff through the Library Staff News. Members of the team include Melinda Brown, David Carpenter, Jody Combs, Peg Earheart, Sue Erickson, Bill Hook, Jared Ingersoll, Flo Wilson, and Roberta Winjum.
