Meeting Notes:(Regrets: Frances, Sue, Holling)
1. Jody shared information about some current campus-wide technology initiatives he has been involved with. Topics included: secure disposal of university-owned computer equipment, such as the free “shredding” service provided by Apple; work underway on a multi-layer identity management system for VUnet ID’s; his work with a consulting group charged with the evaluation of the student records system (OASIS, student accounts, student records), with changes scheduled to be in place by early 2010; social security number remediation for students is also expected to be completed by 2010; the deadline for the first phase of the online syllabus project is October 15.
2. Beth Boord introduced the new Assistant Director of Development, Jennifer Moroney, to the council. Jennifer will work alongside Beth on development for the Library and the Divinity School.
3. In preparation for Connie’s November visit, Flo solicited suggestions and recommendations for information to provide to her while she is here (though much of her time will be spent externally - with the Provost, deans, Development Office, etc.). The Communications Committee is proposing an interview session with Connie and has already created a website with updated information on her visits and arrival. Other suggestions included a social event / welcome party, and visits or tours to individual libraries. Council members are encouraged to send ideas to Flo before Connie’s arrival on November 10.
4.Announcements:
- Juanita gave an update on Emergency Planning Procedures. That group is currently waiting on the arrival of the disaster kits, and plans to meet for further discussion on training and distribution of the kits once they arrive. At that time she wants to meet separately with each individual library to discuss emergency plans, and especially to discuss staff meeting locations for disaster/emergency situations. The Emergency Planning Notebooks are also still in the works. Juanita will follow up with the group at a later date regarding university-wide plans for pandemics, etc.
- Work is scheduled to begin on the Archives Annex on Monday, October 13. Funding has been identified and approved, with a few cutbacks made to the previous construction proposal (a generator was eliminated, for example). The building should be completed by early May, with the move of the archives materials scheduled to begin shortly thereafter.
- Final plans were discussed for the Staff Service Awards. Members were asked to encourage their staff to attend the event.
- The use of Coeus was discussed, as the Library needs to be involved in applying for grants by working with faculty in the early phases of grant proposals. Tracy shared information on Coeus training with the group and recommended those interested take the first level of training.
