1. Announcements & Updates:
- The Women’s Center is reducing the size of their library and Barbara Clark, Women’s Center librarian, has left her position. Her leaving calls into question how we will proceed with cataloging and other issues surrounding Acorn records of Women’s Center materials and the Center for Teaching’s as well. Liaisons (Amy Stewart-Mailhiot and Melinda Brown) will work with the center over the summer to decide what materials they may wish to transfer to us.
- Budget: Lisa and Julie are inputting the 2009/2010 budget information. Directors will receive a copy of their budgets before the end of this fiscal year. Council was reminded to submit their proposals for year-end purchases above $5000 by the May 22 deadline. Please send these to Connie, copying Flo and Lisa.
- E-dog: The monthly e-dog budget verification and approval process will soon include an additional feature allowing budget managers to sign-off on budget centers electronically (on MD091 reports). Lisa will assign an official reviewer for each center, and recommends directors to be the responsible party for this process.
- Grant updates:
- Roberta is currently working on a grant submission to NEH for housing the Helguera materials in preservation folders and digitizing the items to make them available to the public.
- Juanita is reapplying for a grant to CLIR on journalism collections, funded by the Andrew Mellon Foundation. She is also reapplying for a two-year extension for a grant to continue digitization of the Contini-Volterra collection.
- Holling is working with others on a grant from the Mellon Foundation to further the collection of field recordings of East African music.
- Celia is writing a grant proposal to the National Civil War Heritage Foundation to create a database for Civil War resources.
- Marshall continues his involvement with the Mellon -funded OLE project, which ends in June.
- Bill has discussed plans to work with Joseph Mella and art students on a possible stairwell mural project in the newer stairwells, which would require a grant for completion. Further exploration on this project is planned in the near future.
- Martin is exploring converting the Law Library’s microform readers into digital equipment that would have the capability to convert images to PDF and other formats. Law also recently converted a photocopy machine into scan-to-email capability.
- 21North renovation is 95% complete. Shelving is expected to be installed in early June, with an anticipated move date of July 1. Special Collections will be closed for two weeks during the move (details will be posted on their website).
- Owen internship selections are underway. The library submitted three proposals and is waiting to hear if any will be selected. Juanita and Jody will have interns from other institutions this summer, and Celia will have a practicum student (Michelle Nielsen Ott) working at Peabody.
- Security Cameras: Peabody is looking into the possibility of installing security cameras and improving lighting in certain areas of their library. 21North is also considering cameras at the site and is working with LITS and Housing Security for monitoring and cost information. In light of these interests and in consideration of a previous recommendation from Andrew Atwood of VUPD to install cameras in the libraries, Bill will collect expressions of interest in camera installation a nd will work with David and Lisa to figure out how to proceed with further investigation.
- DiscoverLibrary “town hall” meetings are being planned and are expected to begin later this month.
- The Staff Picnic will be announced in the Staff News soon, with an email invitation to follow shortly thereafter. The event will be on June 15 at the Divinity Courtyard & Refectory. Details of the event were discussed. The library will provide the entrée, drinks and paper goods; staff are requested to bring side dishes and desserts. Any donations for door prizes/gift baskets can be given to Robyn or Daisy Whitten.
- Peabody has plans to record short clips highlighting library services as a way to reach out and communicate to faculty. This will be called the Library Minute, and they can be used by other libraries as desired. The first will be about the Foundation Directory, a newly added resource.

Addendum / Other Updates
SCIENCE AND ENGINEERING
- Video training. S&E is having some training issues with student workers, in regards to phone etiquette, shelving, and demeanor while at the desk. Tracy has plans to make very brief and humorous videos (20 seconds each) of poor service situations so that these service situations can be discussed with student workers.
- Cell phone interface. At the June 1 meeting of the orientation group, members will be discussing a piece of software Tracy discovered called Wondershare, which allows formatting of ppt files to Blackberry and iPhone format. Tracy will make a mock-up of proof of concept and discuss if this is an idea for fall orientations.
- Sci-Fi film series. Tracy would like to book 2-3 films for the fall on class sci-fi monster movies. She plans to contact Sam Girgus who teaches film classes, “America on Film.” He requires that students view films outside of class, and the hope is that he would help advertise the films.
- Video e-reserves. Proposal for a pilot with Music and S&E.
- AA outreach. S&E will have a cookie and coffee and meet and greet for S&E and Engineering AAs. June 2. Information about the libraries will be available.
- The School of Engineering offers high school teacher research programs. Tracy will do a series of presentations for these teachers on free library sources to use in the classroom. 1st week of June.

- Creating online tutorials for databases and topical research
- Moving website to a new platform called SilverStripe
- Planning a for-credit course
