1. Announcements:
- Reminder: the Provost’s reception welcoming Dean Dowell to the University is at 4:30 today at Kirkland Hall.
- Flo announced that we will have additional all-staff meetings over the next few months. At the next all-staff event, Council’s four peer review groups will present their findings, incorporating any new information they have located into their presentation from the January retreat. Peer review groups should meet to discuss. Council members will be surveyed to find a time to hold the all-staff meeting, so that all can attend if possible.
- Dean Dowell will make an announcement about LibQUAL+ in the Staff News, encouraging participation and mentioning that our number of responses to-date has surpassed the 2002 survey responses.
- Dean Dowell had a very positive meeting with the Provost last week. They discussed an overview of the new Dean of Libraries position. The Library planning will begin to move forward. Dean Dowell will continue to meet with campus and community groups and individuals to create support for the planning process. The Provost will attend a future library all-staff meeting. Dean Dowell will sign-off on local travel and staff development requests such as webcasts and local training. Dean Dowell will initial all requests that go through any area of the Provost's office.
- Dean Dowell will give a presentation at the April Dean’s Council on electronic resources, digitizing collections, and institutional repositories.
- The Dean’s Group (staff reporting directly to Dean Dowell) will hold a retreat in mid-April to discuss how they can best work together and move forward to support the planning process.
- Beth mentioned that Chris Toft, Associate Vice Chancellor for Development, would like to tour each of the libraries beginning in May after school is out. Beth will contact directors to set up appointments.
- Dean Dowell reminded Council members that she would like to be informed of major events in staff members' lives (illnesses, surgeries, accomplishments, etc).
2. Follow-up from Library Council Retreat: As mentioned at the beginning of the meeting, Council members will present their peer review presentations to staff at a future all-staff event. As groups continue to gather additional information about their institution, they should incorporate this into their presentation. As we plan to move forward with our planning process, we will incorporate results of the LibQUAL+ survey, do an environmental scan of our peer institutional reviews, and plan to hold another day-long retreat for Library Council to assess this information and determine strategies for moving forward. At our next retreat (date to be determined) we will address our current needs and work to determine where we need to be in the next five years, reviewing both our current priorities and our priorities for the future.
3. Faculty-Staff Campaign: Each year the Library appoints three coordinators to represent the Library; they are charged with providing campaign information to staff and encouraging staff participation across the library system. This year’s coordinators are Don Jones, Steven Dunning and Marshall Breeding. They will meet soon to plan further activities in support of giving. Dean Dowell will post an announcement in the Staff News identifying giving opportunities within the University and the Library, explaining the different options available (including the Staff Development & Recognition Fund, among others) and encouraging participation. Council discussed the importance of staff participation in this campaign and efforts will be made to encourage giving, even in the smallest of donations.
4. New Names & Labels: The name of the Office of the University Librarian will change. The sixth floor suite will be renamed Library Administrative Offices, since it is a separate unit than the Dean’s Office on the second floor. Library Administration will include those staff working directly in Library Administration Offices. Public Services, ILL, Technical Services and the Annex (formerly included in OUL listings) will be separated out into their own individual departments. This will be reflected on webpage and other listings, and directions on how/where to find the Dean’s Office, Library Administrative Offices and other units will be included in the updated information. Also of note and for clarification purposes: the Dean’s Council includes the Provost, Associate Provosts and all University Deans; the Dean’s Group refers to Library Administration staff reporting directly to Dean Dowell.
