1. Announcements
- ITS will soon migrate all campus email accounts from MS Exchange 2003 to MS Exchange 2007. The schedule has not yet been determined for this migration.
- Lisa distributed a list of year-end closing guidelines for FY 08/09 (for Purchase Orders, 1180’s, P-Card, etc.). Directors are asked to share with their administrative support.
- Door prizes are needed for the upcoming Staff Picnic. If you would like to donate an item, please send your gift to Robyn by June 10th. The Picnic will be held on Monday, June 15 from 12-2pm at Divinity.
- The All-Staff Meeting with the Provost is scheduled for June 16th at 2pm in Nursing Annex Room 161. (Please note: Shortly after Council met, the all-staff meeting was rescheduled to July 22nd at 2:30 pm, same location)
- Library Council Retreat will be held on June 26. The dean is working on materials for the retreat. The location will be announced soon.
- Effective the first week of August, LC will meet each Thursday at 1:30 pm. (Please note: Council will begin meeting at the new time/day effective July 30)
- Dean Dowell is working with an architectural firm to make changes to the Central Library. The Provost has generously offered to pay for the architect’s plans. His contribution is greatly appreciated, and his enthusiasm for the project even more so.
2. Copier Upgrades: Bill distributed a memo documenting the proposed changes to copier locations and inventories across the library system. The proposal has been approved by the Procurement Office, and the upgrades will begin soon.
3. Library services for non-affiliated persons or groups: Sue has been consulted by library staff who have recently received requests for instruction sessions for visitors not affiliated with Vanderbilt. One such request is for a series of instruction sessions beginning next week for several large groups of high school students. The other is from a teacher at one of the Pencil Partners high schools. Council discussed how to reply to such requests, how long of a notice we would need (a one-month notice was agreed upon), how best to accommodate these types of requests, and who should serve as the contact/point person for such requests. Dean Dowell will discuss further with Sue and Flo, and Council will revisit and explore this topic in more detail in the future. As the library gains visibility within the community, we anticipate receiving more of these requests in the future and will work to develop a consistent method and procedure for future requests.
4. 21 North: Council will meet next week on June 10 for a site visit and tour of the new 21 North facility. Later this summer, upon completion of the renovation and shelving installation, we will set up a couple of tour dates of the facility for library staff.
