1. Announcements:
- Budget Update: Directors were asked to submit additional budget cuts in response to budget updates received from the Provost’s Office since our final 09/10 budget was submitted. Small decreases to travel, entertainment and other areas were made to account for increases to plant cost, utilities and fringe benefits, and also to cover Archives Annex renovation expenditures the Library will be responsible for. The total bottom line decrease came to 0.17%. Lisa will submit this revised budget proposal to the provost this week.
- Retreat Updates: Council members were reminded that the four peer review groups should continue their research of their respective institutions to investigate further information Connie requested after the retreat. Also, Connie would like to host a second retreat in late March or early April for Library Council, and a separate retreat for the Dean’s Staff Group. During the first week of March she will also hold a staff meeting for all library staff.
- Service Desk Coverage: Sue mentioned that she and Julie B. are currently surveying circulation and reference staff in each of the libraries to gather system-wide data about our service points.
- Jody mentioned that the Vanderbilt ITS group is working to implement a new listserv platform, and plans to retire the old listserv from majordomo. All list traffic will route through Vanderbilt.edu instead of library.edu, and our lists will eventually be migrated over.
- The S&E film series begins today.
- AlertVU will run a test on Friday 2/20 from 10am to 11am. Juanita has sent a list of contact numbers for the library system. If you wish to receive the test individually, please check to see that you are registered and your info is current.
- The Zome competition for engineering students is this afternoon.
2. Staff Development News:
- The Tennessee Library Association will take place in April. One of the guest speakers, Katie Clark from the University of Rochester, will give a report on how students study. The SDC is trying to get her to speak at Vanderbilt on this topic as well, in case council members and other staff are interested in hearing her.
- The Spring Staff Event takes place in May each year, and it is time to begin planning for this year’s event. The SDC and the Spring Staff Event Planning Committee are looking for less expensive options this year in light of current budget constraints. Council members were asked for recommendations. A pot luck event was suggested, with the Library possibly providing the meat and grilling for staff. Dragon Park (Fannie Mae Dees Park) is the suggested location this year; the park has covered areas in case of rain and is near campus. Instead of door prizes, suggestions were made for interactive activities such as games and additional contests (a side-dish contest in addition to the dessert competition was mentioned). Please send any further ideas to Celia.
3. Access Policy Review: Due to recent concerns and questions, a review of the access and use policies seems appropriate in order to clarify policies and procedures to ultimately share with library users as well as staff. Sue, Bill, David and Robyn will serve on the Access & Use Policies Project Team to identify issues, to determine how to address these issues, and then report back to the Library Council with recommendations.
