1. Announcements:
- Flo will attend an ASERL conference next week and report back to Council on assorted news from that meeting. Council reviewed and briefly discussed a SECAC Libraries proposal about collaborative resource sharing, which will be considered during a meeting at the conference.
- Progress is being made toward the migration from Novell to the MS Exchange environment. Directors were asked to remind their staff that this change is coming in the near future.
- Dean Dowell will email Council soon about dates being scheduled over the next few months (Staff Picnic, LC Retreat, etc.). Also, the May 20 LC meeting may be cancelled due to absences.
- Dean Dowell has reviewed the travel request submissions. She will review further and forward the approved travel to the Provost for consideration, and then notify individual library staff of approvals.
2. All-Staff Meeting: Council held a follow-up discussion about yesterday’s library-wide staff meeting. The presentations (and presenters) were well-received and staff were engaged in the presentations and discussion. Turnout was high, with over 100 in attendance. Directors are asked to encourage attendance at future meetings. Our next meeting is being planned for June 16 when Provost Richard McCarty will join us.
3. Audit of Print Serials: Bill reported back to Council on the Collections Committee’s Monday meeting. Julie is currently generating reports to help move through the serial review process more efficiently; reports will include journals, serials and all print subscriptions. Special effort will be made to make informed decisions about which materials can be moved to electronic and which may require that they remain in print. By next LC Bill may have review templates available to share with Council. Bill noted that in response to a query from Connie, that the review will include Reference materials as well. While it has long been the practice to review whether print could be cancelled when adding a new electronic database, there is undoubtedly still some duplication of print reference sources with electronic. The scope of the review to eliminate unnecessary duplication between print and electronic sources will include reference titles as well.
4. DiscoverLibrary Roll Out: Our plan is to move forward toward making DiscoverLibrary the default search interface. Plans are underway to hold open interactive meetings with staff to identify and prioritize the top 3 or 4 concerns about the platform’s current configuration and use so we can more easily move forward. Jody and DLSC will work with RSC and others to ensure attendance by those staff whose involvement is important in light of their position; the meetings will also be open to any other staff interested. In response to questions, Jody reiterated that there are no plans to replace Acorn’s native web interface and that the current plan for DiscoverLibrary includes providing easy and transparent navigation from DiscoverLibrary back to Acorn’s interface.
5. Fall Orientation Planning: Sue will meet next week with the Commons Program Coordinator to discuss Fall Student Orientation plans. She will report back to Council on information gathered at her meeting and will also send Council any pertinent materials relating to fall orientation.
6. Committee Review: Flo recently sent annual committee reports to Council for their review. Dean Dowell discussed how best to review committees effectively and efficiently. Council was asked to review the annual reports and revisit this topic at our next meeting, with plans to move toward a decision on who should be tasked with committee reviews (Dean’s Group, a subset of Council, or consider other options), with the ultimate goal being to resolve any decisions as a group.
