1. Announcements:
- Jody reminded Council of the migration from Novell to a Microsoft active directory before the end of June. LITS is currently troubleshooting with two trial projects (one with Divinity public workstations and soon staff workstations) and attempting to iron out any potential issues.
- Bill announced that the transfer of funds from individual libraries book fund accounts to the main admin budget will soon occur; libraries should proceed with monograph spending.
- LibQUAL final results: the survey ended on Monday, April 13. Final numbers: 2,268 total surveys were completed (with over 1,000 comments), surpassing our 2006 and 2002 totals. Comments will be analyzed soon; comparative data to other institutions will begin in June. Council would like to formally thank the LibQUAL team for all of their hard work throughout the survey and for their outstanding leadership.
- Dean Dowell updated Council on her recent meeting with the Provost, in which they followed up on her presentation to Dean’s Council on institutional repositories and discussed how to identify channels to make faculty more aware of the issue of author’s retaining copyright. Several other topics including the Provost’s visit to a library all-staff meeting were discussed.
2. All-Staff Meeting: Our next library-wide staff meeting will be Tuesday, April 21 at 2:30 in the Nursing Annex. Council members will give 10 minute presentations on their peer reviewed schools after Dean Dowell opens the meeting with a recap of our overall progress made in the past six weeks; refreshments will be served afterward. Council is asked to email the dean ideas for future topics, presenters, and names of groups or individuals for recognition. In June we hope to schedule an all-staff meeting with the Provost attending.
3. Acorn Chronicle: Dean Dowell asked for Council’s ideas in developing new communication vehicles for different audiences. The Acorn Chronicle will be refocused specifically toward donors; a new venue needs to be developed for faculty. The dean asked for Council’s involvement in developing new marketing tools for each separate audience. Dean Dowell will meet with the Communications Committee to discuss options and possibilities and report back to Council, with plans to proceed with this process in the very near future. This should remain high on our priority list.
4. Patron Identifier Number Remediation Project: The existing numeric patron identification code is slated to be replaced by a new 9-digit unique numerical identifier generated by the Card Office; the timeframe for this project has been moved from 2010/2011 to June 2009. CAC is currently working on the assorted issues we will face updating Acorn, and other issues that may arise with our users. MIS wants us to be in test mode by end of May. By the fall semester all incoming students will have the new 9-digit number; other users (faculty, upper classmen, grad students, staff, alums, external card holders) will be moved to the new numbers at a later date.
5. Audit of Duplicates in Print/Electronic Serials: The Library has been asked by the Provost to review and eliminate unnecessary duplication of print journals available electronically. The Dean supported this request and noted that it is especially important in this economic time. Bill distributed a document outlining the goals of the audit. Collections Committee will do a title by title review of print subscriptions and submit a progress report to Council by September 1, 2009. Dean Dowell will give a preliminary report to the Provost prior to the final report in January 2010.
6. First-Year Student Orientation: First-year orientation will be limited to just four days. While a dedicated time slot for library tours or other activities during the four-day orientation period is not feasible, staff at The Commons would like to help promote library offerings for first-year students in the first few weeks of school. Sue asked Council for ideas for alternative ways for the Library to be involved during students’ first two weeks of school; please email ideas to her by next Tuesday. For graduate student orientation (Aug. 24), the Library has been invited to have a table at the Student Life Center; volunteers are needed. Plans for transfer student orientation are still pending.
Other items on the agenda were deferred to the April 22 meeting.
