Project Summary/Abstract:
The project team will define the scope and method of drawing together in a branded web presence the various digital media assets from around the University into an archive. Such library collections as the Global Music Archive, Voices of Vanderbilt, Art Department slide collection, the University Archives Photo collection, the Robert Penn Warren tapes, and various University created media such as podcasts from News and Public Affairs, I-Tunes U material, and other media produced by faculty and students.
Carrying out this project, the team should development recommendations for collection development policy for media material, metadata standards, archival standards, methods of monitoring the creation and availability of digital media, the organizational placement of the archive, and on-going organizational leadership. Attention to the appropriate technical infrastructure for long-term preservation is an important but separate issue.
Timeline:
- Draft preliminary report by December 30, 2007
- Revision by January 30, 2008
- Final report by February 28, 2008
Statement of Purpose:
The Heard Library has a number of media collections such as the Global Music Archive, the Vanderbilt Television News Archive, the Voices of Vanderbilt and other potential video and spoken word collections. Drawing these collections together to gain greater campus visibility and ease of access will enhance campus recognition that the library is the rightful place to archive media materials and therefore attract other materials of this type to the library. Planning for the technical infrastructure is also important, but is a separate issue and is beyond the scope of this charge.

The Task Force leader will report periodically to DLSC.
Other Personnel involved/required
No other personnel are needed beyond those named to the Project Team. The team may recommend added personnel, if the recommendation is to develop the project beyond the current projects.
Related Project(s):
The Project Team should contact the various individuals connected with media collections in and outside of the library. Particular attention should be paid to the I-Tunes U collection and possible video collections coming from the Theater Department.
The DLSC is also beginning development of a Digital Preservation initiative. This Vanderbilt Media project needs close coordination and collaboration with this project.
The DLSC will take up the issue of digital asset management in the coming year. Again, the Vanderbilt Media project will need to coordinate its recommendations in light of those potential developments.
