Communications Committee Minutes May 15, 2008

Members present: Henry Shipman, Sue Erickson, Suellen Stringer-Hye, Robyn Harris, Paula Covington. Guest speaker: Ronee Francis.

Communications Committee in the VU e-Archive: Ronee Francis gave an overview of the VU e-Archive (http://e-archive.vanderbilt.edu/index.jsp). She has created a page in the e-Archive DSpace for the committee to deposit final versions of products we have created, such as pens, bookmarks, the Be brilliant! button, the Guide to Libraries, etc. (to view our page visit: http://e-archive.vanderbilt.edu/handle/1803/614). The committee decided this would be a good place to archive all of our products once they are completed. Ronee and/or the committee will continue to add our items as we finish them. Ronee also mentioned she will be upgrading the site over the summer and the committee gave her suggestions and discussed how to market the e-Archive. She will send us an article to post to the blog/ticker and the staff news.

Ticker Items: The need for more ticker items was discussed. Currently an article on “Commencement finds” is up, but it and other articles may need to be removed and replaced by more current news items. Suggestions for new items were discussed, such as: adding an article marketing the Faculty Delivery Service to faculty (reiterating the fact that articles as well as books can be delivered); and adding an announcement about the posters being distributed around campus. Robyn agreed to add a ticker item on the new fines policy and to place an article in the staff news reminding staff about the library blog and ticker. Sue suggested that we do a Brown Bag session about the posters to update staff on this campaign.

Update on Poster Distribution: The posters are ready to be distributed. Members should make arrangements with Henry to pick up their posters for distribution. It was also decided that Special Collections should eventually (after the first round of distribution as all of the current posters are already earmarked) receive 6 posters: five for the archives and one for display.

Other: The marketing timeline for the coming year will be discussed at the next meeting. Members should review last year’s timeline and bring ideas for items to be added to or removed from the 2008-2009 timeline.
