Communications Committee January 17, 2006 Minutes

Attending: Suellen Stringer-Hye, Celia Walker, George Anglin, Angel Bruner, Henry Shipman, Flo Wilson, Ava Wilson, Jim Webb, Paula Covington and special guest, Paul Gherman.

I. External Communication

A. Talking Points

1. Charge: Celia had written a draft of the charge for the Talking Points project team. We read through it and will forward recommendations to her before the next meeting.

2. Project Team: After looking over the list of staff with the skills appropriate for the project, it was decided to narrow the skills list and appoint Paula, Ava and Celia to make nominations at the next Communications meeting.

B. Public Web

1. News Ticker: Suellen has recently updated the ticker on the Heard Home Page. a. Request for addition: GIS Resource Guide: A headline on the news ticker, leading to this guide will be added to the ticker soon. b. Archiving recommendation: Duke Library format. After a discussion about possibly archiving the news items from the ticker, it was decided to put this on hold and revisit it as part of the web page update.

2. Bus Routes: A new web page will be made showing the four bus routes that come to the library. This page will be linked from the About the Library page.

3. Report on RSC & DLSC joint meeting (Celia, Flo and Suellen): Flo gave a summation of the joint meeting of the Research Services Committee and the Digital Library Steering Committee. They discussed what kinds of updates were needed for the Heard web pages, how to allocate resources and how much needed to be done by the Fall 2006 semester. A minimal refreshing of colors, layout, language and structure bring more consistency with other libraries in the system will be the immediate goal. For further information, see the January 12 minutes for the RSC.

II. Internal Communication

A. Staffweb/Committee/SP Wiki: a. A request was made for a visual representation of committees and teams with staff. Celia will get the committee structure information to Jim, who will make a graphic for the Committee Wiki. b. Project team reports, resources, membership and activities will be located on the Wiki of the committee to which they report.

B. Staff News Feed: A suggestion was made to have a button or link for comments on daily staff news. Celia is compiling a Communications document with the procedures which will be posted to the “Reports and Documents, Procedures” section of the Staffweb and a form will be linked to a “Submit a request” button on the email digest and News Feed.

C. Mulberry Mailing Lists: Flo checked the current distribution lists to find those now defunct or taken over by a new committee. She identified the persons most likely to know whether the list was active. She has sent a list of those able to be deleted to LITS.
