Communications Vehicle Summary Questions

Note specific examples where appropriate

TV News Archives: Marshall Breeding makes monthly reports to the University Librarian. We have a web site with database of our information. Subscriptions are available from there for CNN online access. Tapes of programs can be ordered by anyone. E-mail questions from users of the database come in regularly and much of the day is used answering them. Paul, Marshall and John make regular presentations to various conferences. We have a close relationship with News and Public Affairs and they do quite a bit of publicity for us.

Management
Principal means of communication with the school is via the Owen Daily News and then e-mail. For library staff, there is a reference blog (Baker)and a technology newsletter (Bauer) and an OGSM staffweb for policies, forms, monthly reports.
Music
Email and telephone are used regularly for communicating with any patron groups. Email and telephone are used regularly for communicating with library staff. Information for staff is posted to the Music Library Staffweb; information for patrons is posted to the Heard and/or Music public webpages. The Staff News feed would be used for communication with the library staff as a whole and is used for notification of monthly reports which are on the Music staffweb. Monthly reports are prepared regularly. I've listed pamphlets which Music would use for describing the subject, research and information guides prepared for library users. A newsletter is prepared infrequently for communication with the Blair community. Oral presentations (tours, instruction sessions) are conducted for classes or groups.
Technical Services
Within the library system, e-mails and telephone calls are used to relay information, especially in regard to specific books or materials. Monthly reports are generated and accessible from the Staffweb or through the staff news feed. Roberta writes and speaks to university audiences, particularly faculty, about the VU e-archives. Rush requests from patrons, both within the University and externally, now come directly to Techinical Services and we communicate directly with them through e-mail. Our external communications are mainly with vendors. We hold face to face meetings, conference calls and webinars with a number of vendors. We also communicate directly with publishers when needed. Vendors are also contacted at conferences.
OUL
OUL oversees the Acorn Chronicle (published twice yearly).
LAW
We communicate primarily in person with people in our building. Also use e-mail distribution lists and web-based forms for document delivery, reference questions and books requests.
Peabody
Much use is made of the Guide to Libraries, especially the map. The Peabody Library does periodic tie-ins with local theatrical productions that are based on literary works such as Little Women at TPAC.

Which method(s) do you use most frequently for each audience?

TV News Archives: Our most frequent communication is through our web based database with external audiences. We occasionally have tours of the facility by faculty and librarians. Graduate students sometimes come to do research. Videos and oral presentations are given by Paul, John and Marshall at conferences.

Technical Services
With staff and other libraries we use mostly e-mail or telephone calls. There are also a number of committees which we use to pass along information. Roberta spends a good deal of time selling the VU e-archives to different University departments. E-mail is also used for this. We have direct contact with the users of the library when they wish to request RUSH materials. Vendors are our main external audience. We meet face to face with representatives, telephone, hold conference calls and webinars are given by the vendors which some TS staff attend.

OUL
We've just recorded our first pod cast and we'd like to do more with that, possibly in conjunction with student "reporters". It would be great to have flat screen monitors in each of the library foyers that report the library events for the day. We've also talked about putting a monitor in the GLB lobby for this day in history type broadcasts from the TVNA. Ideally, we'd have a place for news on the home page that is more prominent.
LAW
Law school is undergoing a major web redesign and this will affect our communication format. Also, would like to prepare an annual report.
