Minutes April 18, 2006

Present: John Haar, Amia Baker, Mary Beth Blalock, Deborah Broadwater, Sue Davis, Catherine Gick, Bill Hook, Bryan Kurowski (visiting). Mary Prince, Carlin Sappenfield, Kathy Smith, Mary Ellen Wilson.

1. Workflows Java client. Julie Loder provided the committee with an overview of the client. Chris Waldrop, who is coordinating Java client training for the Staff Development Committee, also attended to inform the group about procedures and timelines. Julie demonstrated both the “classic” and “themes” views and reviewed how wizards work. Following the demo, the committee made decisions about how we will provide training to collection development staff.

LITS will conduct training sessions for all staff to provide a general overview of the client and instructions for configuration and customization, so the Collections Committee will be responsible for training staff to interpret and, where necessary, edit acquisitions records related to collection development work.

The committee will offer two separate classes. Most collection development staff will take a basic class on interpreting fund, order, invoice, serial, vendor, item, and copy records. Staff with specialized responsibilities will take an advanced class in editing fund records and running reports. We will offer multiple sections of each class and coordinate with Staff Development to schedule them. Each member of the committee will submit a list of persons in their libraries who require either the basic or advanced classes, and we will determine the number of sections based on this information. We agreed to train everyone to use the themes view.

John, Bill, Mary Beth, Carlin, Lee Ann, and Bryan will serve as trainers. The trainers will teach themselves before teaching their classes (Mary Ellen agreed to assist them). We will ask LITS to load a test version of release 3.1 (the new version that the library will use in production) on the trainers’ workstations. The trainers will meet to develop a curriculum and handouts or web-based tutorials.

2. Gift policy and procedure. The committee approved revisions to the draft policy and procedure. We will circulate it to collection development staff in each library for comment. We will also circulate a donor handout prepared by Celia Walker based on the draft document.
