Agenda:

1) SSN changes. Review of changes and latest questions will be discussed.

CAC continues to have questions and concerns about the upcoming changes to how patron records will be loaded. The following questions were raised, and forwarded to Dale.

1) When will the file be delivered? Overnight processing on June 7? When will production Acorn be ready on June 8 with the new SSN records?

2) Have the problems with the categories and profiles not matching been resolved? If they are not resolved before June 8, what will happen?

3) There are some people on the medical side who have VUNetIDs and have medical cards, but are paid by HHMI (Howard Hughes Medical Institute). Will these people be included in the daily feed?

4) How will term faculty be handled? They have nine-month contracts, which can be renewed. Will library privileges expire in the summer months, even though they may return in the fall? If they are to return in the fall, do we grant library privileges? How are we to know the difference between someone whose contract has ended and will not be back and someone who may come back? Is the proper procedure to return the person to the home department?

5) We have some people who are staff whose profile has been changed to faculty. How do we change the profile to faculty for these exceptions, so that the daily feed does not overwrite the information?

6) How will library staff be identified so that the special profile for library is preserved?

7) In the test feed, there records that were in Acorn as “Staff-Other.” Why?

8) When an employee is identified as terminated, will the record in Acorn expire? How will the expiration be noted in the Acorn record?

A report should be created and distributed on a daily basis. Tracy has submitted a Netfix so that the report may be created.
